Office Manager / Paralegal
The basic duty of a law office manager is to ensure the office is running smoothly. We are looking for a candidate who possesses the ability to manage business functions as well as the overall operations of a law office, including legal assistant supervision. Individual must have the ability to assist with case management, perform court filings, participate in evaluation and hiring decisions, and work closely with partners and clients on high-level matters. The position requires advanced knowledge of the law and legal procedures, along with bookkeeping and management skills. Experience in a specific legal practice area is highly preferred but not required. Professional certifications are a plus, including Certified Paralegal designation. Qualified candidates must have bookkeeping experience as well as knowledge of legal or other professional service organizations, and have experience managing business operations such as human resources, technology, facilities, finance and marketing.
Responsibilities will include the following:
Financial reporting, general ledger accounting, billing and collections, cash flow control, banking relationships, investment, tax planning, tax reporting, trust accounting, payroll, pension plans and other financial management functions.
Systems and Operations Management
Information services, records management, library management, office automation, document construction systems, information storage and retrieval, telecommunications, litigation support, legal practice systems and other systems management functions. Including strategic and tactical planning, business development, risk management, quality control, organizational development, firm planning processes and other general management functions.
Required Skills and Abilities
Can identify and analyze complex issues and problems in management areas, and recommend and implement solutions. Can manage office functions economically and efficiently, organize work, establish priorities and maintain good interpersonal relations and communications with lawyers and support staff. Displays excellent supervisory and leadership skills. Demonstrates willingness and ability to delegate. Litigation paralegals must be highly organized and pay close attention to details. It is their job to ensure that all necessary documentation for a trial or arbitration is obtained and organized, all necessary court documents are timely prepared and filed, and all exhibits are prepared and readily available.
Additional job responsibilities include:
• Performing initial case file set-up and organizing and tracking case files.
• Building and maintaining databases and files.
• Ensuring that copies of documentation are properly filed and distributed.
• Preparing and delivering correspondence.
• Proofreading and filing of pleadings and effecting service of same.
• Calendaring dates and deadline reminders.
• Establishing chronology of events facts and events.
• Locating and interviewing witnesses and preparing selected witnesses for trial.
• Researching aspects of the case for purposes of discovery and assisting in the preparation
of discovery, including interrogatories, request for admissions and request for production
• Coordinating with experts.
• Assisting lawyers in the courtroom.
• Maintaining confidentiality.
Individual must have the ability to assist with case management, perform court filings, participate in evaluation and hiring decisions, and working closely with partners and clients on high-level matters. The position requires advanced knowledge of the law and legal procedures, along with superior leadership and management skills. Experience in a specific legal practice area is highly preferred. Professional certifications are a plus, including Certified Paralegal designation.
Graduation from a recognized college or university with major course work in business administration or management, finance, human resources, technology or marketing, or comparable work experience. Professional certifications are a plus, including Certified Paralegal or Certified Legal Manager designation.
